The scale is based on the concept that leadership involves not only technical competencies, but also a range of emotional intelligence skills, including empathy, self-awareness, and social skills. The scale consists of 24 questions that assess a leader's ability to lead with both their head and their heart, with each question assessing a different aspect of leadership. The aim of the scale is to help leaders identify areas where they can improve and develop their emotional intelligence skills to become more effective leaders. There seems to be a real push on for assistants to aspire to more. Even the term 'assistant' is apparently uncool! On the one hand, you're being told that you're more than 'just an assistant' and then seeing programs that promote you to aim to be more than just an assistant. Mastering the 3 Ps: A Framework for Understanding Your Manager's Needs and Priorities
In this episode, Liz shares a simple yet effective framework for assistants to build and maintain their understanding of their manager's needs and priorities. She talks about how managing different needs and priorities across different executives can cause stress and anxiety and contribute to overwhelm. Liz introduces the 3 Ps - Preferences, Priorities, and Pet Peeves - and explains how they can be used to set up new relationships for success and reset existing relationships. Liz breaks down each of the three Ps and provides examples of how assistants can gather information about them, including asking their manager directly. She suggests documenting the three Ps for managers and keeping the list handy and updated. Interview with Jessica Davies: A Force Multiplier In Action
My interview today is with Jessica Davies. Operations Manager for Dr. Peter Fuda, based in Sydney, Australia. Jess has worked with Peter for over four years now. Commencing in an EA capacity and subsequently moving into the role of Operations Manager early in 2022. In that capacity, Jess partners with Peter across three key streams; his consultancy; The Alignment Partnership, his leadership app; Enixa and any speaking engagements he undertakes. In the Operations Manage role, Jess works across account management, project management, marketing and content creation, always with the intention to amplify Peter’s work. Prior to TAP, Jess worked at a Fintech start-up in London as the EA to the CEO, and has held a number of executive assistant and team assistant roles prior to that. I met Jess Davies when I reached out via LinkedIn to connect with Peter Fuda. I was immediately impressed with her professionalism and communication skills. In my interactions with Jess, it was clear that Peter placed enormous value and trust in her and this was articulated by him when I interviewed him in Episode 165 of the podcast…if you haven’t listened to that episode…you must go back and take a listen. It’s an approach called BLUF which stands for Bottom Line Up Front A BLUF (bottom line up front) is a framework where the essential information is placed at the beginning of the text, rather than the end. The BLUF framework makes you more credible. You will sound more crisp and confident. That sends a powerful signal that you know your stuff.

Upping Your Email Effectiveness - Part 1 of 3
Welcome to the first of a three-part series designed to help you be more proactive and effective. In this episode I share an approach to crafting email subject lines that have more impact. Effective subject lines clearly communicate the action you expect or want the recipient to take. It’s effectively cuing the person - saving them time and mental energy as they scan their inbox. This simple approach uses square brackets that show the abbreviated action or keyword. Square brackets stand out visually so the cue will be clearer Implementing this approach requires you to be proactive. Incorporating this approach will require you to discuss with your exec to agreen on the abbreviations are that you’re going to use.

Tapping Into Your Emotional Triggers
While our emotions have evolved to help us, there are times when our emotional responses no longer serve us for a variety of reasons. Unwanted emotional triggers can range from being a minor nuisance, to in some instances, leading us towards behavior we may later regret. I like to say we are human beings, not human doings. 140. The Drama Triangle Explained
This week's episode relates to a topic that I see coming up again and again in my work coaching and training executive assistants and administrative professionals. The Drama Triangle is something you will relate to both in terms of your work environment and in your personal life. Are you a victim, a persecutor, or a rescuer? 132. Engaging In Difficult Conversations: The Power Skills Most Assistants Struggle With
No one likes a difficult conversation (including me). Being able to engage in challenging conversations is a crucial Power Skill that I train assistants in. There are many people who avoid them altogether but the consequences of this can be enormous and it's definitely something that will get in the way of you being perceived as a Linchpin Assistant. If you're someone who cares about creating and maintaining healthy and happy relationships, both at work as well as in your personal life, you know that sometimes an uncomfortable conversation is necessary. 131. Taking The Temperature Of C-Suite Leaders: Insights From My Survey
A few years back I started surveying business leaders to get their perspective on the role of the EA and how their EA enabled their leadership and effectiveness. The results continue to be interesting. In this episode I share a couple of the insights. Interestingly whilst leaders SAY they want their EA to demonstrate leadership traits, significantly less respondents agreed with statements that bear out what it LOOKS like for an assistant to be treated as part of the leadership team. 128. Covid 2020 Christmas Wishes

118. Less Ladder More Spider Frame

112. Your Value Star: How Defining Our Virtues Empowers Executive Assistants
I came up with the concept of My Value Star™ when I was post breast cancer, struggling with a lack of confidence and self belief. In Chapter 11 of my book “Coming Home from Breastcancerville" I talk about my 'career wilderness years' after having children and how I lost touch with what made me invaluable as an employee. Somehow it took hitting rock bottom due to breast cancer treatment and recovery for me to look at myself differently. Despite feeling lost and unsure of anything I doodled this five-pointed star and identified five qualities that spoke to my value. This episode is a book review focusing on Chapter 4 of Future Fit by Andrea Clarke. I think this is a must-read for you because I believe that what will allow you to adapt and navigate the change that is going to continue to come at you as Executive Assistants is your 'power skills' or the human skills that Andrea outlines in the book. Functional competence (the stuff you can get done)and even strategic competence (your awareness of what and why stuff is happening in your team and the broader organisation) are not sufficient for Executive Assistants to be perceived as indispensable to their business leader and employers. It's the soft skill proficiency that's going to help you stand out and stand up. What I love about Chapter 4, Tapping Into Adaptability is that whilst Andrea lays out all the reasons why we must be able to adapt to change, she also reminds us to be kind to ourselves. Again, this is so aligned with my own advice to the people I coach and train. We are human beings, no human doings and reminding ourselves of this is a great way to start being kind to ourselves. #68 How To Influence Without Authority
The day to day reality for Executive Assistants is that they are required to get stuff done with no formal authority to give them clout with the people that they need to engage in order to get that stuff done. Influencing without authority is what this is called. In this episode Liz outlines the six principles of influence that Dr. Robert Cialdini outlined in his ground breaking book Influence: The Psychology of Persuasion. Understanding how to adapt all or some of these principles is something that Knowing Assistants invest the time to do. You may never read this book cover to cover but understanding what he means by each of them can help you think about the way you can influence people to move them in the direction you want them to go. In this episode Liz takes you through a play by play from one of her recent coaching engagements. In this situation the Executive Assistant was literally days away from resigning from her role. The communication with her manager was in such a bad state and her morale was so low that she felt quite hopeless. As a result of implementing the advice Liz gave her in their coaching sessions she was able to turn around the situation and establish a new framework for communication that has allowed the relationship to go from strength to strength. The downside of coaching Executive Assistants is that the situations and circumstances are highly confidential so unfortunately the particular assistant cannot participate in this interview. #59 Saying Yes In Order To Say No - Indispensable tips for Executive Assistants
Today's episode is sharing two tips from a recent keynote presentation I did in Sydney for Office Professionals Day. Firstly, how thinking like a Sales Person can help you shift your minset... - It’s not their responsibility to buy, it’s your responsibility to sell - You may not want to sell but you that’s what you’re doing - You need to to sell your ideas, your requests, your issues, yourself! How if you can adopt this mindset and channel your inner sales person you will be more effective My advice is to sell what you can sell, make peace with what you can’t Secondly, try saying YES in order to say no! Your sole purpose is to support your manager or managers. Sometimes they will come to your desk when you are busy handling something already assigned and it’s easy to feel you are being interrupted. Yes. You are. But that is your job. Never underestimate the power of “yes” in your thoughts, attitudes and the first word you speak to others. Helps you be perceived as a positive, can-do person. Tip = when someone approaches and interrupts you internally smile and think “yes”. The internal “yes” changes our thought patterns, attitudes, ‘tell’ facial expressions and posture. It’s an old sales technique - never respond with a ‘no’. Instead if something is asked of you say something like “Let’s discuss what I can do” or “Yes, I would love to do that. Here’s what I can do”.

Super excited to announce that I have a book coming out later this year. Yes, I will be able to officially call myself an author!!! With a working title 'Getting Home From Breast Cancerville (is the hardest bit)' my book is about the complexity and uncertainty of recovering from treatment and accepting that life will never be as it was before Breast Cancer. In writing my own story I have tried to convey the way everyone thinks that when your treatment ends, the worst is behind you. The truth is, the hardest bit is yet to come. #52 Changing It Up For 2018
As some wise person once said, a change is as good as a holiday. Well I've had a holiday and am finally getting back to work so it's now time for some changes. I'm starting a new format for the show commencing with my next episode #53. I'm a strong believer that you can't 'show up' at work or in life if you're not taking care of your wellBEING. I'm also a huge exponent of the thinking that we are 'human beings not human doings' as Wayne Dyer so eloquently put it. This has been an area of huge significance for me in the years post my Breast Cancer diagnosis and treatment and I feel that it's been a strong theme in the podcast episodes and talks I've done since launching Being Indispensable in mid 2016. My belief that being perceived as indispensable or a linchpin employee as Seth Godin describes it needs to be driven by three things: Knowing yourself - what are your strengths and weaknesses, what do you need to work on improving to be perceived as a linchpin as well as what you need to be a human being. What is working for you at any given time in the area of your wellbeing and what isn't...and what do you need to do about it! Knowing your boss - what drives them, what are their values and beliefs and what are their priorities. How can you better assist them, add value to them and really be perceived as a strategic partner. Knowing your organisation - do you really understand what the company or business you work for is all about. Where have they come from and where are they going. So going forward I will be producing episodes based on these two aspects of us as working people - human beings and aspiring linchpins. I will alternate between a 'BEING' related episode and an 'INDISPENSABLE' related episode. I look forward to having you along for the ride.

#49 - Why Negotiating Is A Process Not Just A Conversation
Today's episode is a road rambling sharing some of the points I presented to an audience of Executive Assistants at a conference in Sydney run by Intrepid Minds. The topic was negotiating skills and strategies. It's common for people to think about negotiation as it applies to the job hunt process. Negotiating salary and benefits or alternatively negotiating salary increases or role changes with your employer. We also negotiate with co workers and peers about the distribution of tasks, due dates, deadlines, needing something from someone else so we can get something done…this takes communication skills and an ability to negotiate and engage in crucial conversations. In this episode I share the thinking and research of Margaret Neale from Stanford University who encourages us to think about negotiation as a process and that the goal is not to get a deal, it's to get a good deal. Four steps to achieving a successful negotiation: Assess - is it worth it Prepare - know yourself, know the other person Ask - engage Package - start with the results/benefits you can deliver Take a communal approach - works better for women I also share some other tips including not thinking of negotiating as a one-discussion or one-conversation exercise. It may take multiple conversations to get a good deal or the best outcome and you need to stay in dialogue with the other party. The use of silence and leaving space for the other party to fill is something I've shared before and it's useful when negotiating to be aware of the power of silence. Finally I discuss the concept of BATNA or your best alternative to a negotiated agreement. In other words what is your fall back position, your next best outcome? Hope you enjoy the episode. #45 - Reminding Yourself That You're A Kickass Assistant
We all know the benefits for team and personal morale of giving positive feedback. The weird thing is that when we are on the receiving end we can often be guilt of reading it, feeling momentarily happy and validated and then moving on and never looking at it again. In this episode, Liz shares why it makes such good sense to create a filing system or a repository for positive feedback you receive, whatever form it comes in. Because Liz is an Evernote tragic, this is her platform of choice for filing such feedback. In Episode 45 she shares how she does it and why. #40 The Executive Assistant As Brand Ambassador - Conversations at Nvidia
Episode #40 of Being Indispensable shines a light on two Executive Assistants (or Administrative Assistants as they are known in the USA) who work at Nvidia in Santa Clara, California. The company description on Wikipedia summarises them as follows: Nvidia Corporation is an American technology company based in Santa Clara, California. It designs graphics processing units for the gaming and professional markets, as well as system on a chip units for the mobile computing and automotive market. In simple language, they have designed a really fast chip that until recently was well know amongst gamers because of it's speed. With the increasing requirement for faster processing in enterprise computing as well as the wave of Artificial Intelligence that is building, they are gaining interest and attention for the potential the chips have in these areas. In the same way as we used to think of "Intel Inside" for personal computing, it's now becoming "Nvidia Inside" in the enterprise space. Carla Dutra and Cid Dias are two of many Administrative Assistants at Nvidia. They kindly agreed to speak to me during their lunch hour and in the interviews they share how they came to Nvidia, who they support and some of the reality of their day to day role. The gold in these conversations is that Carla and Cid epitomise the concept of the EA or AA as brand ambassador. Their genuine enthusiasm for their role and the organisation, their warmth and generosity made a wonderful impression on me and this typifies how they show up in their roles. This is one of the values that Executive Assistants bring to their organisation. They are often the first impression of the company and the interaction they have with people has the power to make or break a person's perception of their company. All credit goes to these two ladies for the way they conduct themselves and for demonstrating this essential trait of indispensable assistants. #39 Road Ramble - There's No 'Harm' In Being Kind
One thing I find really unfortunate about the realm of Executive Assistant forums is the way there seems to be a tacit acceptance that it's okay to judge each other. As someone who has come to focus on this profession having experienced the world of Selling professionals and Marketing professionals it's something I find quite curious. I've noticed that it seems normal for experts in the profession to jump on their soap box and tell EA's how they should and shouldn't behave. In this weeks minisode, I ruminate on why it's important to consider that we can never really know what is going on for other people and how being kind should be the first response, no matter how hard that might be at times.

Episode 37 is the final episode in my miniseries devoted to helping you get your C-suite leader on the social media bandwagon. In Part 2 of my interview with Sue McComasky we discuss her role as National President of the Australian Institute of Office Professionals (AIOP) and why she is so passionate about what the mission of the organisation. #29 Strength In Our Connections - Interview With Sue McComasky, National President AIOP (Part 1)
Sue McComasky is an indispensable Executive Assistant who is passionate about her role and the Business Leaders she supports. The intention of Being Indispensable has always involved providing a platform for Executive Assistants to be given the recognition for the amazing contribution they make to their respective organisations. In Part 1 (Episode #29) of our interview, Sue talks about her role and her relationships with the CEO’s she has supported. #28 Create A Great Elevator Pitch That Describes Your Business Leader
This week's solo episode is all about passion. Indispensable Executive Assistants demonstrate passion. They are passionate about their role, about their organisation and about the executive they support. It sets them apart from mediocre EA’s and it’s something that may require a mindset shift. One of the ways that you can demonstrate passion is being able to passionately articulate your business leaders’ raison d’etre, their reason for being. This is effectively an ‘elevator pitch’, something that entrepreneurs and salespeople are well known for having. It’s a way of demonstrating that you are operating in that managerial mindset that Adam Fidler talks about. One way of doing this is to use a modified version of Daniel Priestley's SOCIAL PITCH: “Name, Same, Claim to fame, Goal to Game” NAME - You and your position, name and your company name SAME - What are you the same as, industry category (what would I google if I was trying to find you) CLAIM TO FAME - something that makes your boss interesting to work for. It’s talking to why they are an interesting person to work for and demonstrating that GOAL TO GAME - What's the short to goal that your boss is currently pursuing, what the big picture objective that they are working towards. Can you put words around the GOAL TO GAME section? If not, you need to take steps to actually understand what you executive’s reason for being is. Another opportunity to initiate a conversation with them, to show them that you are a red box thinker and that you are thinking in that managerial mindset. #27 Why You Need To Control Your EA Destiny - Interview With Adam Fidler (Part 2)
In Part 2 of my interview Liz shares some initial results from her Survey of C-Suite Executives where she has been investigating how elements of Adam's EA Manifesto resonate with executives and their experience working with EA's. The results to do date reinforce that assistant's currently are not generally viewed as behaving strategically and operating with the 'managerial mindset' that Adam encourages. However, the results of the survey clearly show that executives want their EA's to demonstrate leadership traits. Adam also shares a simple mindset hack to remind EA's to think as a manager and he also discusses how it is up to EA's to help their boss see them in a different light, as more 'Red Box' than 'Black box'. #26 Why You Need To Control Your EA Destiny - Interview With Adam Fidler (Part 1)
In my interview with Adam we discuss his belief that Executive Assistants must take charge of their professional destiny because if they fail to do so, they risk others stepping in to influence it that do not understand the role and the true value that Executive Assistants can offer organisations and individual leaders. The overarching theme of Adam’s work is about encouraging and enabling EA’s to align their behaviours with what is expected of a mid level manager and the sorts of EQ skills that are focused on in leadership development. He has a higher vision for the role which he articulates in his EA manifesto but rather than this vision being some sort of airy fairy, non-specific ideal he advocates for it being based on a proven foundation of skills development. I’m already calling out that I’m going to have Adam back on the podcast for us to debate the word ‘indispensable’ as you will hear that he’s not a fan of it. I actually think he and I are in agreement and that it’s about not striving for something you can never achieve, because as we’ve discussed, we’re all dispensable. Anyway… Top takeaways from interview with Adam Credibility is achieved through getting the job done, being professional and being qualified - therefore EA’s need to choose high calibre events to attend that will reflect well on them and be seen as an effective use of their time. Focus on what you need to do to be seen as more ‘managerial’, more professional in your role. That means looking closely at what activities and tasks you are spending your time on and look at identifying how you can develop into more red box activities. Aligned with this is spending time in ‘boss mode’ as opposed to ‘pa mode’. Thinking proactively, using initiative, having a growth mindset and asking less for permission and more for confirmation or correction. Boss Mode is about understanding your leaders’ objectives and priorities as well as the organisations and thinking strategically about how you can advance those without being given explicit instruction. This is where Adam’s metaphor of moving up from the dancefloor is so powerful… I love this metaphor, I keep humming Sophie Ellis-Bextor’s song “Murder on the Dancefloor” (link to Youtube clip in the Shownotes for those of you that don’t know it) Finally Adam acknowledges that there will always be a place for black box activities, he says these are the bread and butter tasks of EA’s but the reality is that no one ever got promoted for being great with Excel or Powerpoint. You may need to help your boss see your value in doing ‘red box’ activities but once they’ve experienced the benefits they will be converts. Saving your boss time makes you a huge asset but it requires you to act and work independently. #22 Roxanne Calder Interview: How EST10 Is Uncovering The Invisible Ink
As Founder and Managing Director of leading boutique office support recruitment company EST10, Roxanne Calder brings a fresh approach to the table. Roxanne established EST10 in 2010 and from the launch of the company has sought to differentiate EST10 from other recruiters through the way they engage with employers and candidates with integrity and demonstrating through their actions passion and a commitment to finding the very best talent. In fact over 80% of EST10s business comes from referrals and repeat business. I was keen to interview Roxanne because I admire the way EST10 puts their money where their mouth is in the way they support the EA profession through their marketing activities including an annual EA of the year award and their sponsorship of development opportunities for EAs such as the EA Leadership Forum. In addition, EST10 sponsors opportunities for EAs to network and share their experiences at round table events and other organised events. The key takeaways from my discussion with Roxanne include: To become a sought after EA you must possess a high degree of EQ or Emotional Intelligence EA’s at the top of their game demonstrate self control, Their Executives value their trustworthiness and they are seen to have high standards of honesty and integrity. EA’s must take responsibility for their own performance, being willing to ask ‘what can I improve on’ and being self-directed when it comes to their own development. Motivation, empathy and social skills are the other key qualities that define a high level of EQ and these are also vital for an EA that seeks to develop a lasting career in the C-suite. The time that can be saved if the recruitment process involves a conversation, however brief with the Executive. Roxanne sees this as invaluable to ensuring not just that the EA is a good match for the Executive but that the Executive is a good match for the EA. HR is obviously integral to the process but having the Executive engaged early on is going to only enhance the hiring process. I love the fact that Roxanne herself is a successful female entrepreneur and we need to hear more of these stories. #20 Road Ramblings - The Christmas Edition
Road Ramblings makes a comeback this week just in time for Christmas. Liz recounts how technical 'isssssews' have prevented her from doing her interview with Roxanne Calder from est10 which will be rescheduled for the new year.
