Throwing a party is a creative yet simple activity:

I think the reward for a host is knowing that their guests are having a good time.
In addition to being a DJ and Master of Ceremonies I am also a Pianist and lead a number of ensembles in performances throughout Southern California.
In this episode I relay a story of playing piano for 2 different holiday parties and the common thread that bound them.
The first was a spirited gathering involving the entire neighborhood of the Venice Canal Historic District complete with a flotilla of decorated boats that cruised up and down the canals.
The second was a Christmas house party; an open house. Neighbors and friends were coming and going. At any given time there were about 75 guests in the house. The kitchen was the focal point for food in a very large room with tall ceilings where the grand piano was.
Party Success
The hosts of both parties thoroughly enjoyed creating their party making sure their guests had everything they needed.
It might have been that hiring a caterer with service staff would have made the task of throwing these parties easier for the hosts. Though they worked hard to see to every detail, it was evident that their parties were a success and they had fun.

Recently we celebrated our wedding anniversary.
Eggs Benedict & Potato Pancakes for breakfast - Horseback Riding in Topanga Canyon - A walk on the beach, and Dinner at Inn of the 7th Ray.

No doubt about it, food was an integral part of our celebration.
Music greatly contributed to our celebration as did the location.

There’s an old saying by Greek Philosopher Plato that “Necessity is the mother of invention.” Though he said it in Greek I think the concept is easy to understand.
Here is another quote with similar meaning, “If you want the house cleaned up, just throw a party. Miraculously, the house gets cleaned up just before guests arrive;" at least this is the way it works at my house.
Earlier this year I decided to have a neighborhood block party in my front yard.
My wife Sheila pointed out that we couldn’t possibly have a party with our font lawn looking the way it did. So, I fixed my front lawn sprinklers and let nature do the rest.

A Wedding Director is not a wedding planner and is not really a wedding coordinator. Essentially the wedding director represents the ceremony site and makes sure the couple gets down the aisle on time.
But on “the day of” it is the wedding coordinator who would be responsible not only for the wedding ceremony going smoothly but for every aspect the entire event. Many parts and services come together on the day of a wedding.
Services need to arrive at the right time, to setup in the right place, to be able to start and end on time. In a word, these services need to be coordinated.
The coordinator's responsibilities would also include ensuring that guests also arrive on time and go to the right place etc… And, that the bridal party and family are dressed and arrive at the right time and are directed where to go and are found if missing.
It is a lot to be responsible for :-)

I have had the pleasure of performing for weddings and parties at some of the most prestigious hotels and private clubs throughout Southern California. These locations and their staff consistently deliver a high level of service that their patrons have come to expect.
Basically, a high level of service resides in the individual, who is helpful.

Most event professionals are artists, and find it artistically rewarding to collaborate with their clients on a happy occasion.
The conversation in this episode however verged on a separate subject I call “the disagreeable individual”.
Now let me be clear. Helping someone who has a vision for their event is a lot of fun. If they are demanding and specific that’s just fine. That’s not a disagreeable individual.
The the “disagreeable individual” for reasons only they understand are at odds with the very people they have hired to help them. Their attention is on something else and their intention isn’t constructive.
There is much more that could be said about the “disagreeable individual” who indeed seems to get pleasure from making others feel on edge.
Probably a good rule of thumb is to hire people you like, and put together a good team.
Another rule of thumb could be, don’t invite people who create problems for you. If you can’t avoid doing this, then let your event planner know so they can be on the lookout.

It is true an event is guided to success. In able hands, it may seem that an event just happens with no effort at all.
This is the sign of complete planning and excellent coordination. In a word, good control. Okay, that’s two words.
To some "control" is a four letter word. This can be traced to a bad experience in some cases.
We have all experienced the discomfort of a toast that has gone on too long, or a DJ who talks too much, or someone who has had too much to drink. It would be wrong to give that person a microphone. How about an event that seems disorganized and doesn’t flow. These, every one of them, are examples of something or someone out of control.
When an event is going well, it’s best to let what’s happening just happen. As an event professional it is one’s job to make sure the next thing is ready and happens at the proper time.

A very good friend of mine recommends not to make decisions while you’re upset. That’s good advice.
The current situation is upsetting as of May 5th 2020. No doubt about that. Emotions are running high in the media; it seems they’re upset too.
You can turn off the news, put on a colorful bandana and take a walk around the block until you feel better. Don’t worry, you can always turn the news back on. But I recommend getting creative.
I enjoy cooking for my family. Currently I am letting friends know that we are all okay here in Los Angeles. I wrote a song. Who knows, I might even clean out the garage!

A high level of service can be simply defined as, the event professional taking responsibility for the needs of the client.
It is an important part of the coordinator’s job to know the scope of service of each vendor and to confirm these arrangements with the client before the event.
The event is going smoothly. Guests are enjoying each other. No one wants to end a party before its time.

Picture a table beautifully set for dinner. The centerpiece could be regarded as the focal point for the table contributing to the decor of the entire room.

Usually at an event the centerpiece is the same from table to table. However, I have seen table settings, each of a different design, representing for example, where the guests had traveled from, such as the New York table or the Miami table. I have also see centerpieces that represent the interests and activities of the celebrants.
A great deal of care can go into the design of a centerpiece. It shouldn’t be too big, obstructing the view of the other guests at the table or obstruct the view of the rest of the room where important activities will be taking place. It could have lights or be lit from above. All by itself the centerpiece can be regarded as one of the unifying factors in the visual presentation of an event.
Master of Ceremonies
In much the same way the master of ceremonies conducting the festivities of the evening is a focal point and unifying factor for an event; he’s the man out front.
Being interesting and entertaining the MC yet strikes the proper tone. Unless otherwise instructed he is not there to make wisecracks or use profanity and otherwise make guests feel uncomfortable. Recently, there are many couples in the middle of this nightmare. Thankfully this doesn’t happen often.

Education is the key to making good decisions.
It’s especially hard to think of everything when one is new at an activity. Indeed, sometimes one can’t help but get an uneasy feeling that they are forgetting something or that something hasn’t been fully thought out.
However, with education and proper guidance, the bride becomes more certain about her wedding and makes good decisions.
In the course of our respective carriers, Tobey and I have rather enjoyed helping couples and their families achieve successful events.
In this podcast, we draw on that experience.
With education in mind, Tobey and I have been defining terms relating to weddings. In episode 43 Wedding Definitions Part 1 we discussed the duties and responsibilities of a Wedding Director.
In Episode 44 Wedding Definitions Part 2 we define the role a Wedding Coordinator plays in the success of an event.

The Wedding Coordinator is a person who is hired by the bride and groom to help them with their wedding.
The more I look at what a wedding coordinator is responsible for, the bigger the job seems.
I think there are 3 parts of a full-service wedding coordinator which include advice, planning and the execution of the wedding day.
On the day of the wedding, all of the services the bride and groom have hired come together and each one directed or coordinated. Additionally, the wedding coordinator has to keep track of the bridal party so they are all together and where they need to be. Additionally, vendors and service staff need in place and ready for their cue.
In this way, the wedding coordinator works 10 to 20 minutes in the future of “what’s happening now”.
For example, the coordinator would make sure the champagne is poured and the best man and maid of honor are standing by before they cue the Master of Ceremonies to make the announcement for the champagne toast. At the same time, the wedding coordinator has their eye on the kitchen to make sure dinner will be on time.
On the day of, the responsibilities of a wedding coordinator might be analogous to directing a live television show. After all, a wedding is done “in one take.”

Question: What’s the difference between a Wedding Planner and a Wedding Designer?
Or a Wedding Director and Wedding Producer?

I’ll admit, I have been providing music and entertainment for weddings throughout Southern California for over 25 years and up until a short time ago, I thought these terms were just different names for the same thing.
Through talking with Tobey Dodge I am finding out that these terms have their own definitions and are not interchangeable. I am learning what distinguishes one from the other and what each does.
For me, this sheds some light as to why some events went really well and why some events didn’t go as well as they could have.
I think a couple new to planning their wedding would benefit from knowing these terms and how they relate to the services they will be hiring.
I also think by knowing these definitions event professionals will be better able to serve their clients.

Wedding Director - The wedding director is a representative of the religious organization who gives guidance to the couple regarding the policies and customs of that organization. To provide a high level of service I am sure there is some kind of ratio of service staff hired to the number of guests attending. An example of this is hiring additional staff to provide wine service during dinner.
In this Episode, Tobey recounts a wedding reception having an unexpected change in the foodservice affecting the bride and groom’s dinner. Like a house of cards coming down this effected toasts, music, dancing, and the whole momentum of the event.
As fate would have it, there was a guest in attendance, the sister of the groom, who was an event coordinator.
She sensed that something was wrong and in a challenging manner got up in Tobey’s face about why this, and why that, and what are you going to do about it?

What if there is no wedding coordinator? Who’s in charge?
When I first started performing for weddings back in the 90s I really didn’t understand how an event was organized. After meeting with the client I thought I had my facts straight and the event would go smoothly. I really couldn’t put my finger on why some events went better than others.
Eventually, I adopted the policy of attaching an itinerary and sometimes diagrams to contracts and that complete planning was the answer. This went a long way to establishing a smooth-running event. But I found out the client had also made agreements with their other vendors and it could occur on the day of the event that multiple timelines could exist.
This episode starts with my telling of an event back in the 90s that could have gone better. From just a few facts Tobey was able to diagnose what happened and illustrate what should have happened. I think everyone can learn from this talk as I did.

What is the message of your event? Wedding & Event Podcast Episode 38.
In episodes 36 and 37 Tobey and I discuss “Party With A Purpose”; these center on the occasion.
As you know thousands of dollars can be spent on an event, and people can have a good time and that might be all there is to it. However, if an event is a communication, then, what is the message?
I had gotten a referral of a retirement party needing music. The gentleman planning the event, an executive of his company, wanted to acknowledge a retiring employee.
In working out the flow of the event, I asked him if there would be toasts or words spoken?
This was something, he later admitted, he hadn’t thought of.
In a discussion late that evening, he expressed that this concept of including “spoken words”, turned out to be the opportunity for he and his guests to convey their heart-felt thoughts, which was important to him.

With some exceptions, I mostly speak with brides and their families when planning music for the upcoming wedding. It’s quite natural to help a couple visualize their celebration, and where music will be needed, by making an itinerary sketch.
While working with a particular bride on her grand entrance, I was picking up that there was some reluctance on part of the groom making it difficult for her plan. So I decided to give him a call.
In our discussion about his wedding itinerary the groom suddenly, in a moment of cognition asks, “Wait! Do you mean I have to walk into the room?”
This was a fundamental realization that he had to have, which, shed some light to the difficulty the bride was experiencing.
Now, I won't speculate, if it was something like “stage fright” that had gotten this groom all balled up; he is a successful businessman and far from timid or stupid.
This could happen to anyone. He just needed to be made to look at his wedding and brought up to speed on the plans.

Protocol. Part 2 Wedding & Event Podcast Episode 28
When greeting someone for the first time, one could say that the protocol would be to shake hands. This is an accepted response and invites further communication. The natural progression of getting to know one another has begun.
Indeed a wedding reception with a successful grand entrance, for example, is kind of like a handshake. Guests are welcomed and the event is set in motion.
In this episode, Tobey posed this question “Is Protocol what happens at a certain time?” Or “is protocol what is traditional and customary?”
I think it’s a combination of both. And much like a handshake, protocol invites further communication, and in the case of a wedding celebration, facilitates the joining of two families.

Protocol. Wedding & Event Podcast Episode 27.
There are certain traditions and observances that give guidance to how young women are formally introduced into society.
The debutante ball or cotillion are announcements of coming of age and a formal introduction of a young woman to society. Indeed the Jewish Bar mitzvah and Bat mitzvah or the Spanish Quinceanera are as well announcements and social presentation with ceremonies and traditional observances each with their own protocol.
A wedding is the joining of 2 people and by association the joining of 2 families.
Historically noble families steeped in tradition prearranged weddings as a matter of state to combine wealth or form political alliances.
Loosely protocol is an agreed-upon way of doing something or getting something done.
Though an event is formal, it can be fun and doesn’t have to be stuffy, but nevertheless, it is my opinion that such an event should not be cheapened by incomplete planning or casual presentation.

Wedding Ceremony Santa Monica Windjammers Yacht Club Marina del Rey, CA
Hosts have a vision for their event. A beautiful itinerary is composed and the stage is set for wonderful things to happen. Events usually go as planned. But things can occur that alter the proposed schedule. I experienced this happening at a recent wedding where I was the DJ/Master of Ceremonies and Pianist. I started seeing the event go off schedule before I had even started.
Now it is true that the times of an itinerary are flexible and an event can float 15 minutes in either direction and in most cases it is totally possible to catch up and get to everything that was planned.
But time was passing and the guests were too long at the cocktail hour. The weather was hot. The couple was not yet done with their family pictures. After a while, I felt a bit helpless to correct the situation.
In this discussion, I asked Tobey how she would handle an event that was running late.
She illustrated several factors that can influence schedule. Her insight, examples and level headed solutions made sense and some even surprised me.

Hello everyone.
The title of this episode is “No Wedding Coordinator.” Episode 24.
A couple has announced their engagement. Everyone is happy for them.
I am sure the mother of the bride of this wedding took great pleasure in helping plan her daughter’s special day. Wedding planning gets you half the way there. After planning, for an event to be successful, there remains execution.
It was agreed upon between the bandleader and the mother of the bride that each bridal party couple would enter to their own music during the Grand Entrance. Ambitions, but great idea!
The band prepared and rehearsed six thirty-second cues. One cue for each bridal party couple.
However, in the story relayed to me the band set up in such a way that they could not see the couples entering and there was no coordination between the bridal party and the band during the execution of the grand entrance.
We can all learn from this.

I got a "thank you" note from a couple whose wedding I had done several months before. I love receiving these and In reading it it was as if I could hear their voices and sense them in the room with me. It really brought me back to their wedding and how well it went.
I started thinking about what it was that made their wedding such a success and I came up with a partial statement “Events go well when…”
I started playing with concepts that might make a complete statement and came up with several.
I quickly realized though that there could be many such statements each of which would express only a partial viewpoint, that it was possible none could be definitive and apply to everyone.
It may be that such a statement would only be momentarily true and according to the individual and what’s important to them.
Asking Tobey to complete this statement resulted in an excellent discussion.

Someone new to planning a wedding or event would not have a clue about how to evaluate the extent and quality of services offered by event professionals. By researching Pinterest a couple designing their wedding can collect references of what they like. This is a good start but there is so much more to it than that.
When a wedding coordinator refers their client to a vendor it has to be the right vendor for the client; you want a good fit.
An experienced coordinator finds out what their client needs and wants and can then perfectly match that client with the right vendors.
In planning a dinner party, the choice of wine to be served with food is a well-known example of “pairing”.

I’m All Done with Wedding Planning. Wedding & Event Podcast Episode 21.
The title of this episode is: “I’m all Done With Wedding Planning.”
In a previous discussion, Tobey had briefly described a bride who thought she was all done with planning her wedding but in fact was only half the way there.
I admire someone who is motivated, creative and a self-starter. I think it’s great that this bride being in the television industry was kind of a “do it yourself person” who had very specific ideas. Being a performer and an artist this individual was able to communicate her vision.

The title of this episode is New Information and New Responsibilities Part 2. Learning from experience.
It should be obvious that “one doesn’t know” “what one doesn’t know.” The person is just not experienced in the area.
As an example: If one is trying to produce an event with no prior experience, they will certainly learn a lot however it could happen that they will encounter things that they don’t know and improvising to fill in the blanks, pour choices could be made.
In this episode, Tobey recounts working with a couple on their Grand entrance who had some interesting ideas about “no introductions” and “no announcing”. Somehow they thought that they could just appear on the dance floor and that suddenly everyone would give them their attention.
This idea of “no announcing” could work nicely for an intimate event such as a dinner party of perhaps 30 to 60 guests. But certainly not for a large event of 100 or more.
Now Tobey is quite the diplomat and patiently illustrated for the couple the various ways that the grand entrance could be done in the way they had chosen.
I think this idea of “No Announcements” is probably born from having experienced bad announcing by a poorly chosen master of ceremonies who wasn’t working from a script.

During this conversation, I got a call from a bride who I was expecting to hear from. She wanted a price. However, this was before we had had a chance to actually speak. Just the price alone is only a number and really doesn’t reflect the extent or value of service. We had not yet spoken about her ideas and vision for her wedding.
Planning a wedding is a new experience for just about everyone. There is an educational step that would include helping the couple understand their own wedding.
And frankly, while speaking with a bride about her wedding I am learning about her and begin to understand the wedding she is planning.

Now, what’s important to a couple on their wedding day is unique to them. And it is up to the event professional to help the couple achieve their vision.
Choosing flowers, for example, is often part of “design.” However, the size of the centerpieces could easily become a barrier to guests across the table and impede their interaction.
So in addition to “design”, there is a “functional” aspect that should be considered.

However, situations do arise and can make it difficult for even the best of us. Tobey experienced a traffic problem only blocks away from her home causing her to park her car and walk the rest of the way to her appointment.
Time of day and traffic. How long will it take to load in and set up and park? These are obvious considerations for musicians and DJs. Food and the "timing the souffle" can be quite an art. Some locations being historic sites probably were not designed with today’s needs in mind so these factors should be predicted and figured into the overall planning.
It all comes down to getting the job done beautifully and making it look effortless.

Not everything that contributes to a successful event is a “thing”. Food, lights, gifts, decoration are things. This is quite separate from a "meaningful toast" or a "beautiful poem read". These are intangible but very valuable contributions to an event.
In this episode, I relate a story about an anniversary party where the celebrants at the beginning of the planning process categorically forbade any announcements or toasts.
It may have been that this couple had had a bad experience in the past that would cause them to limit their anniversary celebration in this way. I granted them that condition of “no announcements” and “no toasts.”
But do listen to what actually happened as we got closer to the event and the planning became more complete. Sheer magic!

Hello. My name is Eric Zimmermann. I am a DJ/Master of Ceremonies, Pianist and Bandleader in Los Angeles.
Wedding and event planning is a big undertaking and new for most people.
An informed buyer makes good decisions when planning their special event that’s why education and experience are so important.
The listener of this podcast will benefit from hearing discussions by experienced event professionals. Real situations and issues are addressed and guidance offered.
Our purpose is to provide the listener with fundamental concepts to assist them in the creative process of designing, planning and executing their event.
In addition to increasing creativity and enjoyment for those new to event planning it is our intention to help raise the standard of service provided by event professionals through informative and often entertaining discussion :-)
